Summary:

The Contracts Administrator is responsible for supporting the end-to-end administration of service and supply contracts, with a strong emphasis on time management, organization, and compliance with government procurement requirements. The role involves coordinating tender submissions, managing contract execution, and maintaining accurate reporting throughout the contract lifecycle. Working closely with the sales and project teams, the Contracts Administrator ensures all documentation is complete, accurate, and aligned with both internal policies and client specifications. This position is well-suited to a detail-oriented professional with a solid administrative background in construction or infrastructure settings, particularly within the public sector. This is a full time role, based out of our head office in Vaughan, ON.

Key Responsibilities:

  • Manage all contract obligations, including expiry dates, extensions, variations, and certificates (e.g., COI, WSIB, business licenses, safety policies, and insurance). Collaborate with HR as needed. Maintain accurate contract records and registers, ensuring all key dates, deliverables, and compliance requirements are tracked and up to date.
  • Assist with audit preparation and documentation control for compliance reviews.
  • Support the preparation and submission of RFPs, RFQs, EOIs, and other tender documentation, ensuring alignment with government procurement requirements.
  • Coordinate contract award and execution processes, including document formatting, approvals, and signatures.
  • Ensure contract documentation meets client specific requirements.
  • Track and submit monthly or milestone-based reporting (e.g. performance metrics, contract KPIs, workforce reporting, progress updates).

Requirements and Skills: 

  • Certificate or diploma in Business Administration, Procurement, or related field (or equivalent practical experience).
  • 1 - 3 years’ experience in a contracts or procurement administration role, preferably in construction, infrastructure, or engineering sectors.
  • Familiarity with government procurement processes and contract compliance frameworks (e.g., municipal, provincial or federal).
  • High level of document control, attention to detail, and process compliance.
  • Excellent organizational and time management skills with the ability to meet tight deadlines.
  • Strong communication skills and ability to liaise with internal stakeholders and external clients.
  • Proficient in Microsoft Office Suite (especially Word and Excel); experience with procurement or document management systems is advantageous.
  • Experience with government-funded construction or service contracts.
  • Familiarity with reporting frameworks such as Indigenous participation, local content, or social procurement.
  • Working knowledge of systems such as Aconex, TeamBinder, or similar platforms.
