Summary:

We're growing — and we need sharp, organized professionals to keep our service operations running smoothly.

We're looking for a bilingual Service Coordinator to be the backbone of our Service Department at our Pointe-Claire, QC branch. You'll keep technicians scheduled, work orders moving, inventory tracked, and customers satisfied — all while maintaining the accuracy and professionalism our department depends on.This is not a passive administrative role. You'll be hands-on, cross-functional, and essential.

If you have a minimum of 3 years of office administration experience, hands-on experience scheduling technicians and managing work orders, strong customer service skills, and are perfectly bilingual in French and English — we want to hear from you!!!!

Responsibilities:

Operations & Scheduling:

  • Create and manage work orders for service calls and assign technicians accordingly.
  • Build purchase orders for suppliers, subcontractors, equipment, and technical needs.
  • Schedule and coordinate resources for PMA and construction projects.

Inventory & Asset Management:

  • Track, manage, and transfer parts, equipment, and tools across warehouse locations.
  • Monitor consumable stock levels and place replenishment orders proactively.
  • Maintain an accurate inventory of technical assets and manage equipment calibration schedules.
  • Monitor assets belonging to both suppliers and technicians.

Billing & Documentation:

  • Review and resolve billing discrepancies across work orders and purchase orders.
  • Assist with credit applications for service and construction departments.
  • Maintain organized project files in shared virtual drives.

Administrative & Customer Support:

  • Greet visitors, handle incoming calls, and provide front-line office support.
  • Respond to inquiries from customers, sales, and supplier accounts.
  • Assist with light warehouse tasks as needed.
  • Ensure all work aligns with ISO quality standards and compliance procedures.

Requirements and Skills:

  • Experience in a related industry (construction, fire & life safety, security, etc.) is a strong asset.
  • Minimum of 3 years and more of experience in office administration.
  • Experience in the industry would be considered an asset.
  • Post-secondary education required (diploma or technical certificate).
  • Strong computer skills (Microsoft Office – Excel, Word, etc.).
  • Excellent customer service skills.
  • Strong interpersonal skills and team spirit.
  • Ability to meet tight deadlines.
  • Strong communication skills, both written and oral.
  • Strong organizational skills.
  • Maintain a clean and safe work environment.
  • Ability to handle confidential information with a high degree of professionalism.
  • Must be perfectly bilingual in French and English.
